An established organization in West area seeking for an experienced Office Manager to support an office size of 30+ headcount. Provide support to both Finance and Human Resource Manager.
Description of Duties
- Office Manager cum Assistant to the Executive Management Team
- To assist and support Executive Management team in daily secretarial & administrative duties
- To schedule meetings, assist staff in weekly meeting preparations-collate information and internal slides, take minutes of meetings and act accordingly
- To distribute and dispatch information across the Company and with third parties in timely manner
- To compile and file bills & receipt (claims) such as local cost, travel claims and travel insurance Claims
- To file, organize and maintain hard copies of documents and to reconciliate these against Bank Statements
- Jobs Bank (My Careers Future) - advertising and posting new job positions
- To support engineering team in administrative requirements with respect to the related projects (claims)
- Petty cash handling and reimbursement of the costs to the staff
- To liaise with vendors, suppliers, various contractors
- Maintain register and keep record of Company's assets: hardware, software, licences
- To attend to the Company's website, collect and communicate project news, post Company news on social media outlets
- To perform ad hoc activities within the listed scope
Requirements:
- Good command of English: speaking and writing
- Computer literacy
- Acquainted with ACRA, IRAS, GeBiz procedures and protocols
- Able to respond to the requirements of the dynamic international work environment
